If you have a client that would like to bring on a new property with Magain you have two options.
If you are capable it is recommended that you negotiate a win the new business yourself which will entitle you to commission payment equal to 1 weeks rent.
Or, if you don't have the capacity due to work load, etc or the capability to negotiate and win the new business yourself, you can forward the lead onto the New Business team by completing this form https://forms.office.com/r/v8Gfh3qYS9
To negotiate and with the new business yourself you will need to follow the below steps.
Speak with the potential client to determine the property that they would like managed. If it is currently managed by another agent, you may need to ask the owner to check and confirm if they are currently under contract with the agent, when the management agreement expires and what notice period is required.
Email Geoff to advise that you have a new lead you are working on and include the owner details and property address.
Create a new management Trello card.
Complete a title search to ensure that the person you are dealing with owns the property and has the authority to sign a management agreement.
Note: If there are multiple people listed on the property title all of them will need to be listed on and sign the management agreement
Complete a CMA on the property to determine the achievable rent.
Completing a Comparative Market Analysis (CMA) Once you know the achievable rent on the property you can use the BDM calculator (saved in OneDrive) to determine the appropriate fees to charge on the property.
Email the owner an appraisal and CC Geoff into the email you send
The appraisal email should thank the client for the opportunity to provide them with a property management proposal, a brief overview of their property, the achievable rent and why you think the rental amount is appropriate/achievable. It should also have the fees that you are quoting and the 'renting with Magain' brochure attached. (both can be found in the marketing folder in OneDrive) and advise them that you will give them a call in the next day or two to see if they have any questions.
Schedule in your calendar to call the client to discuss the proposal within the next 2 business days.
Continue to follow up the client until they either accept or decline the proposal.
If accepted generate and send a management agreement to the client using REIForms.
Completing a Mangement Agreement Once the client has signed the Management agreement you will need to manually set the property and ownership up as below
Enter the ownership in Property Tree
Save a copy of the MA in Property Tree
Enter the property in Property Tree against the ownership & enter in all of the relevant fees.
Create a property folder in OneDrive and a save a copy of MA as well as other relevant documents in relation to the proposal and appraisal.
Discuss with the owner landlord insurance, smoke alarm compliance and any other requirements they should be aware of.
You can now advertise the property for rent and or arrange for the property to be transferred over to Magain City Realty from their current agent.
