Reception Regular Tasks


DAILY TASKS

  • Daily mail - open and action as required scanning and filing.

  • Phone calls - Assist advertised properties enquiries - Transfer tenant/owner and trade calls to the Property Manager

  • Emails. - Property Me – Unassigned. Assign to correct Property Manager

    - Invoice outlook email – cr.invoice@magain.com.au – upload to Invoice Automate if not already done

    - Reception oulook email – stepney@magain.com.au – Forward to appropriate staff

    - Personal outlook email – action as required

    - Personal Property Me email – action as required

  • Ensure mail is posted each day and any banking passed on to Dimity.

  • Check and approve all creditor invoices via Invoice Automate, One Drive Creditor folder, Property Me Bills and direct emails from Property Managers.

  • Process tenancy invoices for payment where required.

  • Prepare new tenancy/trade/lost management keys as required.

  • Check in end of tenancy keys

  • Processing tenant applications

  • Arrange for council rates, strata, and water invoices to be directed to our agency.  

WEEKLY TASKS

  • Check stationary and kitchen supplies and purchase/advise Geoff as required.

  • Check for keys not collected and notify Property Managers.

  • Check if plants need watering

  • Prepare routine keys for the following week for the Property Managers.
