Key Handovers


All keys to be collected by new tenants are photocopied (this is known as a key receipt) and placed in the red filing box in the key room, filed by street address. There is a laminated template by the photocopier. Aleixa will prepare keys for new tenants as she receives the application approval email. Alexia will also get ready any key handovers for agents/landlords, you will just need to email her to advise her.

Handing keys over for new tenancies

Step 1: Check the lease starts today. We cannot hand out keys before the lease start date. The lease should also be signed, and the tenants have paid their bond and deposit. The Property Manager should already have confirmed this. You can check this on the 'New Tenancies Starting' Air Table page.

Step 2: Check ID to make sure we are handing the keys over to the right person. If a third party is collecting the keys on behalf of the tenant, the tenant must let the Property Manager know prior to key collection.

Step 3: Collect the keys from the red filing box in the key room. Best practice - remove the keys from the envelope before handing them over to the tenant so the tenant can confirm they have all the keys, remotes. access cards etc .

Step 4: Ask the tenant to sign the key receipt.

Step 5: Remove the tenant set of keys from Key Tracker in Air Table. Select the box next to the tenant key number, right click and select 'Delete Track'.

Step 5: Scan and email the key receipt to the Property Manager for them to save in the tenant One Drive folder. Place the hard copy key sheet in the filing shelf on reception desk.
